What is Advanced Events & Meetings, and how does BoomPop fit in?
Advanced Events & Meetings is powered by BoomPop and embedded directly within Navan. It gives you access to BoomPop's event planning tools without leaving the Navan platform.
You can plan your entire corporate event in one place— from sourcing and booking hotel room blocks (10+ rooms) to finding activities and restaurants, managing invitations and RSVPs, creating a guest website, communicating with guests, and building and sharing an itinerary.
What parts of my event are managed through Navan vs. BoomPop?
Navan manages all bookings, including flights, cars, and hotel rooms all within the Navan app.
BoomPop powers the event planning experience, including vendor sourcing, guest lists, RSVPs, communications, and event logistics, working seamlessly behind the scenes.
Do I need a separate BoomPop account to use this experience?
No. Advanced Events & Meetings is fully available within your existing Navan account. No additional login or BoomPop account is required!
Will I receive emails from Navan, BoomPop, or both?
You’ll receive emails from Navan only. Some emails may reference BoomPop or include “powered by BoomPop” language, but all communication will come from Navan.
Can I bookmark my event planning page and come back later?
Yes! All event planning pages created can be found in the Events tab in the top menu bar on the Navan site.
Who should I contact if I need help with my event?
Start with your Navan account manager or Navan Customer Support. They’ll route your question to the right team and help resolve it quickly.
How do I report a bug or missing feature?
Reach out to Navan Customer Support to report a bug or request a feature. They’ll make sure your message gets to the right team for review and follow-up.

Why book a hotel with a group rate through Advanced Events (BoomPop)?
If you’re booking 10+ rooms, group rates offer pricing and contract terms that individual bookings typically don’t. BoomPop helps you source and manage those group contracts in one place, with clear visibility into rates, deadlines, and next steps.
How do RSVPs and itineraries help my event?
These tools keep guest information, attendance, and schedules in one shared place — so you’re not tracking details across spreadsheets, email threads, or calendar invites.
How can I use BoomPop to communicate with guests?
You can send invitations, updates, and itineraries through BoomPop so guests know where to find the most up-to-date event information.
What support is included?
This experience is designed for self-service planning. You’ll have access to core tools and guides to help you move forward confidently.
Planning Your Event
How do I get my event from Draft to Active?
Before you can send invitations, you'll need to complete a setup checklist in the Overview tab. This includes shortlisting a hotel, setting up your event website, reviewing flight and transportation settings, setting your booking policy and payment method, and adding participants. Once everything is complete, you can send invitations and your event will move to Active status. Learn more here.
Can I edit my RFP after it's been sent?
You cannot edit an RFP directly after it's been sent. If you have minor changes, we recommend messaging the hotel once they've responded— they can update the proposal on their end. If your dates are fully incorrect, we recommend sending a new RFP for the correct dates so the hotel can respond to that in full.
Can I add participants after my event is live?
Yes. Once your event is Active, any new participant you add will automatically receive an invitation right away; no additional steps needed.
Can I change my event dates or location after sending invitations?
No. Event dates and location are locked once invitations have been sent. Make sure these details are correct before completing your setup checklist.
What's the difference between the Participants tab and the Website & RSVPs tab?
The Participants tab is where you add and manage your guest list and track travel bookings. The Website & RSVPs tab is where you manage RSVP responses, customize RSVP questions, and configure your event website settings.
Can I customize what I ask guests when they RSVP?
Yes. From the Website & RSVPs tab you can add custom questions, mark them as required or optional, reorder them, and turn individual questions on or off.
Can I track how much my event is costing?
Yes. The Budget and Reporting section gives you a view of travel spend pulled in automatically from Navan, contracted vendor spend from any hotel booked through BoomPop, and any individual expenses you log manually.
