Attrition
A hotel’s policy that sets the minimum number of rooms your group must book to avoid fees. If fewer rooms are booked than contracted, you may still be charged for the difference.

Note: Attrition can apply to the entire event’s room commitment (cumulative) or be figured night by night.

BEO (Banquet Event Order)
A document outlining all food, beverage, setup, and timing details for an event at a hotel or venue.

Commissionable rate
A hotel room or event rate that includes a commission paid by the hotel to BoomPop upon booking. Commission is a standard industry practice and is not an additional cost to you— it's an agreement between the hotel and BoomPop.

Concessions
Extra perks or discounts a hotel may offer—like suite upgrades, free Wi-Fi, or waived fees— negotiated in the contracting phase.

Cut-Off Date
The deadline for guests to book hotel rooms at the group rate. After this date, rooms may not be guaranteed.

Final Guarantee

The number of guests that hotel / restaurants will charge for and prepare food for during your event.

Food & Beverage (F&B) Minimum
The least your group commits to spend on food & beverage to reserve the space. You’ll pay at least the minimum, or more if actuals exceed it.

Note: There is typically a service charge and tax on top of the minimum revenue amount (noted as ++).

Group Rate

The rate given to a group of rooms, usually 10 or more. Most hotels offer discounts for group bookings, which can range from 10% to 30% off the regular room rate.

Master Account

A form of payment with the hotel where the balance is paid directly by the group / contract signer. During your event, transactions can be billed to the Master Account, or to the individual as desired.

Planning Sheet

A section within the Event Dashboard for software only users where you can link your own Google Sheet for your team to reference during planning. Ofted used to centralize key details like budgets, department information, timelines, and food and beverage selections.

Your BoomPop event planner may also refer to the Full Service Hub document as a "planning sheet" when you’re working in a full-service event.

Post-Con
Short for post-conference debrief. A recap meeting between event hosts and vendors/hotel teams to review what went well and what could improve.

Pre-Con
Short for pre-conference meeting. A planning session between event hosts and venue staff to review all final event details and align on logistics before the event begins.

RFP (Request for Proposal)
A document sent to hotels & venues with your event requirements. Venues respond with pricing, availability, and inclusions.

Rooming List
A spreadsheet of guests and their hotel room assignments, including check-in and check-out dates. Shared with the hotel to confirm bookings and logistics.

Run of Show
A minute-by-minute timeline used to manage the event day. Includes who is doing what, when, and where.

Run Rate
The standard, public rate for a hotel room—what you’d see on a hotel’s website or booking platform. BoomPop often secures lower, negotiated rates through group contracts.

Sleeping Rooms
Individual hotel rooms for overnight guests. Different from meeting or event spaces, these are where your attendees will sleep during the event.

Total Sleeping Rooms / Room Nights
The total number of sleeping rooms multiplied by the number of nights they’re needed. For example, 30 guests staying 2 nights = 60 room nights. This number often looks higher than your guest count—but it reflects the full hotel stay, not just the number of people.
