Collaborators are teammates you invite to view and edit your event. Once added, they can update event details, but they can't change the organizer or delete the event. You stay in control.
Before You Start
Collaborators must already be on your Navan user list. If someone doesn't have access yet, they'll need to be added to your company's Navan account before you can invite them as a collaborator.
How to Add a Collaborator
Open the event and go to the Overview tab. In the top menu, select Collaborators on the far right.
Once in the collaborators drawer, click Add collaborators.
Type or select the teammate's email address from the dropdown. Only users already in your company's Navan account will appear.
When selected, select Add collaborators again to confirm and add them to the event.
Once added, the collaborator will receive an email notification automatically. They don't need to take any further action to gain access.
If you ever need to remove a collaborator, find the collaborator you want to remove and click the three-dot menu next to their name. Select Remove to revoke their access to the event page.
The Collaborator Experience
Collaborators have meaningful access to your event, but the organizer role stays protected.
They can:
View the event
Edit event details
They can't:
Change the organizer
Delete the event
When you add someone as a collaborator, they'll receive an email letting them know they've been added to the event. From there, they can open the event directly and start contributing. No setup required on their end.
TL;DR
