The Travel Details section is where you control how participants book travel for your event. It's split into two tabs— Booking settings and Policy and payment— and covers everything from flight preferences to payment methods.
These settings are pulled from your Navan account defaults, so most of the work is just reviewing and adjusting anything that's specific to this event.
You'll be prompted to review both tabs as part of your event setup checklist, but you can come back and update these settings at any time.
Booking Settings
The Booking Settings tab covers the logistical details of how participants will book their travel.
Select which flight types participants are allowed to book— one-way (up to 2 tickets), roundtrip, or multi-city. You can also specify a required arrival airport if you'd like participants to fly into a particular location. Enable Include nearby airports to give participants a bit more flexibility when searching.
Hotel Settings
Configure how participants can book hotel accommodations outside of the event room block. You can set whether prepaid rooms and pay-at-hotel rooms are allowed, not allowed, or— for pay-at-hotel— restricted to company-discounted rates only. Note that these settings only apply to hotels enabled for individual attendees, not the event room block itself.
Booking Notifications
Set your notification preferences for participant bookings. By default, you'll be notified of any out-of-policy bookings. You can adjust organizer notifications here if you'd like to receive additional alerts.
Participant Note
Add a note that will be visible to participants on their invitation page and in their email invite. Click Add a note to get started. This is a good place to include any important event context or instructions you want participants to see before they book.
Policy and Payment
The Policy and Payment tab covers the rules and financial details that govern how participants book.
Booking Approvals
Review and update your booking approval settings -- whether bookings require approval before being confirmed, and who is responsible for approving them.
Reporting Settings
Configure how travel spend is tracked and reported for this event.
Payment Method
Review the payment method on file and update it if needed for this event.
Most of these settings carry over from your Navan account defaults, so they may already be in good shape. Take a few minutes to review each tab before sending invitations.
Once your event is active and participants start booking, some of these settings may be harder to change.
