Once negotiations are complete and everything in your proposal looks good, you can request a contract directly from your event page. BoomPop handles the routing, signature collection, and notifications so you don't have to manage it outside the platform.
Review and confirm your proposal
Before requesting a contract, make sure the proposal is fully dialed in. Confirm that:
All negotiated pricing and concessions are reflected
Dates, room counts, and event details are accurate
The proposal includes everything you need to move forward
When you're ready, select Request a Contract on the proposal.
A confirmation window will appear. Select Proceed to continue.
Add your contract signatory
Next, you'll be asked to add signatory information. This is the person who will receive and sign the contract, so make sure they're authorized to do so.
You have two options:
Select from your account: Choose yourself or a collaborator from the dropdown if they're already in BoomPop.
Enter an email directly: If the signer isn't in BoomPop, type their email address into the field.
Then enter their legal first name and legal last name. This is what will appear on the contract, so make sure it matches what the signer uses on official documents.
Add CC recipients (optional)
If you'd like others to receive notifications when the contract is requested and when it's been signed, you can CC up to two additional people.
CC recipients will be notified at key contract milestones but cannot sign.
Submit your request
Once your signatory and any CC recipients are confirmed, select Request a Contract to complete your request.
Once completed, your event page will update to show a Contract Requested status, and the hotel will be notified to begin drafting.
Reviewing a contract draft
It's possible the hotel will send you a draft to review before the final contract is ready to sign. If they do, you'll receive an email notification and see an Action required notice on your event page with the draft available to download.
If desired, click the download icon next to the file to save a copy.
Review the contract carefully. If you have changes, you can:
Send feedback or questions in a message
Mark up the document and send a revised version back through messaging
Once you're satisfied with the draft, let the hotel know through messaging that it's good to move forward. The hotel will then initiate the final version for signature.
The hotel can send multiple drafts if needed, so don't hesitate to request changes until everything looks right.
Sign the contract
Once the hotel sends the final contract, your designated signer will receive an email with a link to review and sign. You can also access it from the Payments & Contracts tab on the event page if you're an organizer on the event.
From there, they'll be taken to the contract and can click Start Signing to move through it.
They'll add their signature by drawing or typing it, complete any other required fields, and hit I Agree to finalize.

Booking (nearly) confirmed
Once signed, you'll see a confirmation that your contract is complete.
From here, the hotel will review and countersign on their end. Once both parties have signed, everyone receives a copy of the fully executed contract automatically and your inquiry status will update to reflect the completed booking. Then that's it— you're booked!
